Problem Statement

Rodic needed to ensure that users of Bihar's HMIS system could quickly understand and adopt key platform features without manual training. At the same time, they sought to demonstrate innovation and successful adoption strategies for the upcoming Madhya Pradesh HMIS tender. Without scalable, embedded training, both usability and stakeholder confidence were at risk.

Approach

We built a feature-specific AI chatbot using GPT 3.5, integrated visual aids and training videos, and developed dockable user manuals using Scribe. The system empowered users to learn within the software interface. We also created a pitch deck for the Madhya Pradesh HMIS tender, highlighting chatbot usage data and user feedback as proof of success and innovation in Bihar's deployment.

We built a Python-based chatbot using GPT 3.5, enhanced with screenshot responses, embedded training videos, and a fallback to human support. We developed a browser-based, step-by-step user guide system with zoomable screenshots and progress indicators. These guides dock beside the live HMIS application, letting users learn by doing. All content was organized on a portal by module, improving discoverability and task completion across key workflows.
